INVITATION TO BID

The Town of Vernon is inviting bids for summer maintenance of Vernon’s cemeteries for 2012.  Liability Insurance and own equipment are required. 
Bid may be for 1 or all cemeteries as listed below:

The Bid Specifications are available at the Town Clerk’s Office and on the Vernon website www.vernon-vt.org under Projects out for Bid.

Bids must be returned no later than 3:00 on November 21, 2011 in a sealed envelope marked “Cemetery Caretaking Bid” and addressed to:  Vernon Selectboard – 567 Governor Hunt Rd – Vernon, VT 05354.  Bids to be opened at that time by a member of the Cemetery Committee and reviewed by the Selectboard at their meeting on November 21, 2011.

TOWN OF VERNON, VERMONT

SPECIFICATIONS AND CARETAKER’S RESPONSIBILITIES FOR THE MAINTENANCE OF THE TOWN OF VERNON CEMETERIES, TOMB/VAULT, STORAGE BUILDING & MUSEUM (hereinafter referred to as “cemeteries”)

Caretaker is responsible for:

  1. The general appearance of the cemeteries from April 1st until November 1st.
  2. Weekly walk through of the cemeteries to ensure general policing of the areas.
  3. Schedule work so no mowing is done on Sunday or when the grass is wet.
  4. Ensure that all stones are kept clean of grass cuttings, all foreign materials are removed from the grounds and faded or dead flowers are disposed of.
  5. Notify Chairman of the Cemetery Committee or Town Clerk of any damaged, fallen, or leaning stones.
  6. Each individual cemetery must be completed in its entirety on the same day.
  7. Ensure that the mower cutting blade is set at a cutting height of one and three-quarters inches.
  8. Ensure grass is cut when it reaches a height of two and three-quarter inches.
  9. Ensure that the cutting of the individual cemeteries is done in a workmanship manner until the entire cemetery is mowed.  NO ZIG ZAGGING OR SECTIONS.
  10. Clipping is to be done each time the grass is cut.  If a bagger or mulcher is not used the cemeteries must be raked.
  11. Place trash barrels off private burial lots, preferably in areas near a gate.  Ensure trash barrels are placed beside the road for pick-up.
  12. Keep fences free of grass, weeds, brush and vines.  Mow one width of the lawnmower outside and adjacent to the fence.  When special permission is needed to mow one width of the lawnmower outside and adjacent to the fence it shall be rquested and, when granted, mowing done.
  13. To avoid damage of any kind or nature, extreme care must be taken to avoid contact with stones or shrubbery with mower and trimmers.
  14. CARETAKER MUST FURNISH OWN EQUIPMENT.
  15. The caretaker will:
  16. Lime cemeteries with lime provided by the Town
  17. Fill in up to 15 sunken graves per year .
  18. Trim all hedges along the fences including the boundaries of each cemetery.
  19. Yearly spring and fall cleanup, includes leaves and brush.
  20. Liability Insurance is required and Proof of Liability Insurance shall be provided with bid.
